Description
Are you calm, highly organised team player, with a keen eye for detail, interested in joining our small but effective Committee Services team, working to facilitate the Council’s decision-making processes?
You will work closely with members and internal officers to help maintain our busy committee meeting schedule. This is a great opportunity to work at the heart of the Council.
You will have excellent written skills and be comfortable facilitating committee meetings, formulating official meeting notes and documentation associated with council committees.
You will be comfortable learning new processes and following procedures and documentation for set processes managed by the Committee team.
If you are calm under pressure, good at solving problems and an excellent communicator, this could be an exciting role for you.
The role will involve attending and clerking evening meetings, which start at 7.30pm and the role will include an average of one meeting per week.
About this role
You will work closely with your team members to co-ordinate and deliver a key corporate support service to the Council, its members, internal directorates, and the public.
The role will require you to learn and advise on statutory guidelines and procedures. The post holder will be responsible for ensuring working practices of committees are compliant with statutory obligations placed upon the Council, having regard to legislation, professional guidance and the Council’s policies.
The ideal candidate will be comfortable using digital systems. Maldon District Council operates committees digitally through the Modern.Gov system. The role requires maintaining the Digital Committee Management system, ensuring delivery of the system including providing support, training and resolving any issues (of varying complexity) as they arise. We also operate hybrid meetings, with some public and staff access to meetings via Microsoft Teams, and meetings currently being live streamed with ICT support.
You will organise committee meetings, and provide clerk services and guidance within the meetings, including producing official minutes, to ensure the smooth running of council business and delivery.
You will have an excellent level of written English and produce accurate and good quality meeting notes and documentation.
The post would ideally suit an experienced Committee Services Officer, although applicants with suitable knowledge, skills and qualifications are welcome to apply. The role would also be suitable for someone looking for a career in Local Government.
